RoboSpecies Innovations Pvt. Ltd. ("RoboSpecies," "we," "us," or "our") operates the Duggu HR mobile application (the "App"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our App.

1. Information We Collect

1.1 Account Information

When your employer creates an account for you, we collect your name, username, and role within the organization. This information is provided by your HR administrator.

1.2 Location Data

The App collects your precise location data only when you initiate a clock-in or clock-out action. Location data is used to verify attendance at your assigned work venue through geofencing. We do not track your location continuously or in the background.

  • When collected: Only during active clock-in/clock-out actions initiated by you.
  • Purpose: Geofence verification to ensure attendance accuracy.
  • Storage: Location coordinates are stored with your attendance record on our secure servers.

1.3 Profile Information

You or your HR administrator may provide additional profile information including your date of birth, phone number, email address, profile picture, and employment details (job title, joining date, employee ID).

1.4 Attendance and Leave Data

We collect records of your clock-in/clock-out times, leave requests, leave balances, and shift schedules as part of the workforce management functionality.

1.5 Camera and Photos

The App may request access to your camera and photo library solely for uploading your profile picture. Images are stored on our secure cloud storage (Amazon S3).

2. How We Use Your Information

We use the information we collect to:

  • Authenticate your identity and provide access to the App
  • Record and verify attendance through GPS-based geofencing
  • Process leave requests and maintain leave balances
  • Display team directory and celebration information
  • Generate attendance reports for your employer
  • Process expense claims and reimbursements
  • Send notifications related to your employment

3. Data Sharing

We share your information with:

  • Your Employer: Attendance records, leave requests, and profile information are accessible to authorized HR administrators and managers within your organization.
  • Service Providers: We use Amazon Web Services (AWS) for cloud hosting and storage. These providers are bound by data protection agreements.

We do not sell your personal information to third parties. We do not share your data with advertisers or marketing companies.

4. Data Security

We implement industry-standard security measures to protect your data, including:

  • Encrypted data transmission (HTTPS/TLS)
  • Secure token-based authentication (JWT)
  • Hashed password storage (bcrypt)
  • Access controls and role-based permissions
  • Secure cloud infrastructure with regular audits

5. Data Retention

We retain your data for as long as your employment account remains active. Upon account deactivation or deletion request, your account is set to inactive status. Your data may be retained for up to 90 days after deactivation for audit and compliance purposes before being permanently deleted.

6. Your Rights

You have the right to:

  • Access: Request a copy of your personal data held by us.
  • Correction: Request correction of any inaccurate personal data.

7. Children's Privacy

The App is designed for authorized employees and is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. We will notify you of any significant changes through the App or via email. Your continued use of the App after any modifications constitutes acceptance of the updated policy.
